Dear Student:
Welcome! Thank you for choosing the Department of Veterans Affairs Robert J. Dole VA Medical Center (VAMC) as your clinical training/education site. For over 75 years, the Dole VA Medical Center has been honored to serve Kansas area Veterans. The Dole VA provides a full range of primary, specialty, acute and extended care services to Veterans in 59 counties of Kansas. To aid in extending our care beyond the Wichita area, we have six Community Based Outpatient Clinics (CBOC's) located strategically throughout Kansas to provide care to those Veterans living in rural areas. The driving force behind the high quality of care delivered at the Dole VA is our mission statement:

Not only do the employees within the facility honor this commitment, but the students who provide care are also expected to honor this as well. You will be representing your educational institution while you are here and as such you will be expected to perform your duties as professionals.
Before you begin your clinical experience, there are several steps outlined below that must be completed prior to your anticipated start date. The process for access to our facility can look like a daunting one. However, please understand you will have the opportunity to care for our nation’s finest, our Veterans.
The following provides a checklist of the required documents and to whom they need to be presented.
First, you or your Clinical Site Coordinator/ clinical instructor need to contact your VA point of contact of your anticipated start date and ascertain there is an affiliation agreement with your institution. The VA MUST have an affiliation agreement prior to you starting any rotation in the VA system. An Affiliation Agreement can take up to 90 days to acquire. Contact Patricia Stotts, Affiliations Coordinator (316) 685-2221 ext. 54650 to determine if your institution has an affiliation with the VA.
Second, your university or college will need to complete the TQCVL form, TQCVL List of Trainees, and TQCVL Requirements Verified which will then be summited to the Point of Contact at a minimum of 45 days prior to start date. Please e-mail Completed TQCVL Documents to your Student Point of Contact.
Third, You must contact the HR Department at (316) 685-2221 ext 57968 to set up an appointment for fingerprinting. This needs to be done at least 45 days prior to your anticipated start date. If your clinical starts in January, please allow additional time for processing.

Without Compensation Form (WOC)
The Without Compensation (WOC) form must have the following information: Required information is marked in Yellow
- Service Team is the Department you will be working in. (e.g. Radiology, Nursing etc.)
- Your student full name
- The area of your clinical education (e.g. Student nurse, Internal Medical resident)
- Clinical start date and end date
- Name of service team
- Social Security No
- Date of Birth
- Signature
- Date completed
- Veteran Status – circle one
- School Affiliation (name of your school/university)
- Type of program
- Program Title (degree title)
- WOC Position Title (i.e., Student Nurse, Student Nurse Practitioner, Student Physician Assistant, etc.)
- Approximate total hours scheduled to be at VAMC

Instructions for completing this form are located at the top of the checklist. Please print off checklist and turn in as part of your packet.
Mandatory Training for Trainees
This step-by-step manual will guide you through the procedures for completing your Mandatory Training for Trainees. Please follow the steps as outlined. If you have any difficulties with any of the following processes please contact the VA TMS Helpdesk under the “Contact Us” tab or Dean Rhein, his contact information is located below. Please print off the 3 training certificates and turn in as part of your packet.

Influenza Vaccination
All Students are required to obtain an influenza vaccination. Please provide a copy of your vaccination to the Point of Contact by November 1st.
Please clearly print your name and sign.
After completing the above forms please bring them to the Point of Contact when you come for your finger printing appointment. If you have a clinical instructor, they may collect the forms and submit them to the Point of Contact prior to finger printing. Please allow at least 1 hour for finger printing and completing additional documentation.
Robert J Dole VA Medical Center and Regional Office Parking Map
Below you will find a map of the Robert J Dole VAMC Campus. On this map you will see the Education Department and Human Resources Department have been identified in red. You will also find the main entrance of the hospital indicated by a red square. This is a standard place for you and your VA POC to meet on your first day here at the facility.
Also on the map please note the parking areas that are reserved for employees. These are the areas in which you will be expected to park in unless otherwise instructed by your VA POC.
Human Resources is located in Building 61 (Regional Office Building) located around the back side of the Medical Center. When entering the building please turn left and follow the hallway around the corner and you will see the blue sign for Human Resources.
Education is located in Building 6 and is located across the street from the Wichita Fire Department on Edgemoor St.
